Cybersecurity: the right reflexes

Public Wi-Fi, scattered passwords, photos sent via WhatsApp… Risks are often linked to everyday habits. Here’s how to avoid them.

Cybersecurity is not just about antivirus software or complex passwords.
In an expert firm, it is part of daily operations: files contain photos, reports, contact details and sensitive communications.
The risk does not always come from a spectacular attack — it often comes from small, repeated actions that have become habits.
Security therefore starts with the way you work.

Connecting without multiplying passwords

For years, each piece of software had its own password. You create a new one, forget it, choose a simpler one, write it down somewhere… Over time, this weakens the entire system.

Using a professional Microsoft or Google account to log in changes the game. Access to Foldio then depends on a single account, managed at company level.

If an employee leaves the firm, simply deactivating their main account immediately blocks all their access. Management becomes simpler — and above all, more secure.

To set up this connection via Microsoft or Google, a step-by-step guide is available in our documentation.

Staying vigilant while on the move

Experts do not work only behind a desk. While traveling, connecting to public Wi-Fi is common. It is fast, simple and convenient.

The problem is that these networks are rarely secure. You don’t know who has access to them or how data is transmitted. Communications can be intercepted without you even realizing it.

The safest reflex is to use your professional smartphone’s hotspot. The connection is controlled, and the risk significantly reduced.

Vigilance does not stop at connectivity. A visible screen during travel or meetings can be enough to expose confidential information. A privacy screen filter or simply positioning yourself more discreetly can limit this risk.

Security does not rely solely on complex tools. It starts with the right reflexes.

When speed becomes a risk

To save time on site, many experts take photos and send them via WhatsApp or temporarily store them in their phone gallery.

At the time, this seems convenient. But these habits scatter data.

Images pass through public applications, may be automatically saved to personal spaces, and move outside the professional environment. Beyond organization issues, this raises confidentiality and compliance concerns.

Using Foldio’s mobile interface directly changes this logic. The photo is taken within the tool and uploaded immediately to the correct file. It does not pass through third-party apps and does not need to be stored on the device.

Information remains within the professional environment from start to finish.

In case of theft: limiting the impact

The theft of a laptop or tablet remains a real risk in this profession.

In a cloud environment like Foldio, files are not stored locally on the device. In the event of theft, the hardware disappears, but the data remains protected.

Enabling disk encryption further strengthens this protection. Even if someone tries to access the device, the information remains inaccessible.

Losing equipment is inconvenient. Losing data can be critical. It is better to anticipate it.

Granting access without opening everything

Proper access management is also fundamental. Well-designed software allows you to precisely define each user’s rights: view, edit, delete, export… Every action can be controlled.

Best practice is to grant only the permissions strictly necessary for each role — no more. Even when certain needs are temporary, it is often safer to temporarily assign the task to a colleague who already has the appropriate permissions, rather than permanently expanding access rights.

Limiting permissions mechanically reduces risks, particularly in cases of error, misuse or fraudulent account activity. Security depends not only on the technology chosen, but on the discipline with which access rights are designed and managed on a daily basis.
